Report filters and time periods
Filter configuration, relative time periods, and date selection.

When opening a report, first check the active filters. The set of filters depends on the report: you may find options for time period, status, person in charge, client, organization, department, type, category, source, project, warehouse, currency, and others. Multiple filters are applied simultaneously, so each one narrows down the results.
The time period can be relative—for example, This month, Last month, or Last 12 months. If you save such a selection, it will automatically shift along with the calendar. If you need a fixed historical period, select specific start and end dates.
Pay attention to which date is being used for filtering. The creation date, due date, deadline, closing date, and stage change date all answer different questions. If the result is unexpected, check the specific name of the filter.
After selecting filters, wait for the table, summary, and chart to update. To start over, use the clear filters action. After clearing, the initial values for template may be restored, so please review what remains active.
If report figures differ from expectations
First define what you need: the current balance, movements during a period, or the balance as of a specific historical date. These are different questions. A date filter does not by itself mean that the report calculates every item's balance as of the selected day.
For example, an item may have stock but no movements during the selected month. If the report selects movements within that period, the item may be absent from the result. The legacy warehouse report calculation uses the balance changes included in its selection; do not apply this rule to all other reports.
- Record the exact report name and the question it should answer.
- Select fixed dates and check which event date is used. Compare the organization, warehouse, status, currency, and other filters.
- Choose one document or item with a discrepancy. Compare the source record, its date, and status with what the report includes. For stock, also check the movement history.
- When comparing two users, check the organizations and records each can access. Identical filters do not ensure identical access.
- Export only after the report has refreshed, and compare the export selection and totals with the screen. Record the dates and filters so the result can be reproduced.
If you cannot explain the difference, send Hanna Customer Support the report name or link, filters, expected and actual figure, and one specific record with a discrepancy. This helps distinguish an unsuitable report, a selection difference, and a calculation error.
