Task card, statuses, and workflow

Work execution, statuses, approval, next action, and copying.

Last updated 13 days ago

What you’ll do

Execute Task from start to finish, approve, perform the next action, and create a copy.

Before you begin

Access to the Tasks module is required. Creation, editing, visibility of other Staff Tasks, and completion are controlled by specific permissions settings and assignments.

Statuses and Task workflow

The Task status indicates its execution stage. The statuses used in the organization and their sequence are managed by the administrator. The status can be changed on the Task card, via list actions, or in the Kanban view, provided the permissions settings and the selected process allow it.

Before completing the Task, verify that checks have been performed, work time has been recorded, and mandatory fields have been filled in. If completion approval is enabled, final completion may require action from a designated approver.

Next action upon completion

When completing the Task, you may be prompted to create a follow-up action immediately. This approach facilitates continuous work: the current record is finalized, and a new Task form is prepared. Before saving, check which fields were carried over from the previous Task.

Copying Task

The copy action prepares a new record based on the existing Task. Before saving the copy, review the title, dates, participants, checklist items, files, and other data proposed for copying. The copy is a separate Tasks; therefore, changes made to it do not affect the original record.

What the card displays

The card presents key fields, participants, dates, status, description, checklist items, comments, files, time, reminders, and history. Specific sections depend on the permissions and enabled features.

  1. Check the responsible parties, start date, and deadline.
  2. Change the status to "In Progress" or start the timer.
  3. Update checklist items and record important decisions in the comments.
  4. Attach files confirming the results.
  5. Stop the timer and verify the logged time.
  6. Complete the Task or submit it to an approver. If a mandatory comment is enabled, the system prompts for an explanation upon completion or cancellation. Closing the window without saving should not alter the status.

Approval of Completion

When an approver is assigned, the executor's action can submit the work for approval. The approver reviews the result and either approves it or returns it for correction. If you do not see the approval actions, verify that you have been designated as an approver and have the necessary access permissions.

After a significant status change, refresh the card and check the status, completion date, and history.
