Tasks participants, visibility, and permissions

Assignees, followers, visibility, plans, and common visibility scenarios.

The differences between those responsible, followers, the creator, and public visibility; why team member might not see Task; and which permissions to check.

Participants and visibility

A private Task is accessible to its participants, the creator, and users with broader Tasks viewing permissions. A public Task is visible to all Staff who have access to the Tasks module.

The "My Tasks" list primarily displays Tasks where the user is the person responsible or a follower. Simply creating a Task does not automatically assign the creator as the team member responsible.

If you create a Task for yourself and want to see it in your list, select yourself as the team member responsible or as a follower. A Task you created but did not assign to yourself can be found via global search, provided you have the necessary access.

Plans and user permissions

The scope of features in the Tasks module may vary across the Optimal, Advanced, and Maximum plans. Even if a feature is included in the plan, a user will only see it if they have the necessary permission.

The following actions for permissions are typically managed separately:

  • viewing one's own Tasks;
  • viewing all accessible Tasks;
  • creating Tasks;
  • editing Tasks;
  • deleting Tasks;
  • exporting data;
  • managing settings, templates, and sets.

If a user is granted permission only to view their own Tasks, they must be assigned to the Task or added as a follower. A public visibility setting can expand visibility but does not grant editing or administrative permissions.

I created a Task, but I don't see it in the list

Check if you are the team member responsible or a follower, clear any filters, and check the selected time period. If necessary, locate the Task using global search and assign it to yourself.

Another team member cannot see a private Task

Add the team member as the team member responsible or as a follower. If the record needs to be visible to all module users, mark the Task as public.

I can see Task but cannot edit it

Viewing and editing permissions are separate actions. An administrator needs to check your editing permissions and role restrictions.

Expected records are not appearing in the list

Clear your filters and check the date range, the view, and your assignments. List counters may be calculated based on narrower criteria than the actual list of Tasks records; therefore, evaluate the results based on the rows actually displayed.

Dates generated from a template or set are incorrect

Open the created Tasks records and check the start and end dates. When dates are calculated based on duration or the deadline of a related record, ensure the interval for each Task is correct before proceeding.
