How to break down a task into items, share information, attach documents, and schedule a reminder.

Checklist items

Checklist items are used to break down a larger task into smaller steps.

  1. Open the checklist section on the task card.
  2. Add a checklist item title.
  3. If prompted, specify the team member responsible or fill in other fields.
  4. Mark the item as complete once finished.

The checklist status allows you to see how many parts of the task have been completed.

Comments, files, and reminders

Comments can be used to track the progress of a task and share information with other participants. Depending on organizational settings, you can attach files and reminders to the task.

Receiving a reminder depends on the selected time, notification settings, and the user's contact channels. Visibility of actions related to comments or files also depends on the specific task settings.

Personal reminder

  1. Select the option to create a reminder on the task card.
  2. Specify the reminder time or a relative timeframe.
  3. Select a recipient, if the field is displayed.
  4. Save and verify the calculated reminder date. Personal reminders and automated system notifications are distinct functions. Automated notifications are sent based on event rules defined by the administrator and the user's channel preferences.

Checklist templates

If items recur, the administrator can create a checklist template. When a template is selected for a task, the items are added automatically. Before applying it a second time, ensure you do not create duplicates.

Item progress is displayed as a percentage. Failing to mark a standard item may not prevent the completion of the task unless the administrator has enabled an additional rule requiring specific items to be completed.

Comments and replies

Use comments to record actions taken, decisions made, or questions asked. Editing and deletion capabilities may depend on the author, the specific task settings, and the time elapsed since posting. After replying to a specific comment, verify that the reply appears in the correct thread.

Files

Attach files to the task or a comment. Limits regarding file types, size, and storage are determined by the administrator and the server. Before uploading a sensitive document, check the task's visibility settings and participants. After uploading, verify the file name, size, and download functionality.

Automated notifications

Notifications can be sent upon the creation, assignment, status change, commenting on, or completion of Task. Recipients are determined by responsible parties, followers, approvers, related Contacts, and user channel settings.
