Opportunity processes, stages, conditions, and automation

Administration of sales processes and stages, along with associated automated actions.

Last updated 20 days ago

A user with administrative rights can find the settings under System Settings → Opportunities.

Processes

Select Processes if multiple sales workflows are required. Create short names and define the color, active status, sequence, and default value. A disabled process will no longer be available for new records; therefore, check existing Opportunities and stages before disabling it.

Stages

Select Stages → New record and fill in the following:

  • ID, process, and names in the languages used;
  • sales probability used for forecasting;
  • allowed duration in hours or days;
  • color and sequence;
  • linked Lead stage;
  • Tasks templates to be created upon entering the stage;
  • Task, the completion of which should change the Opportunities stage;
  • email template and recipients.

The default value, active status, and Kanban display settings are managed in the stage list. Disabling a stage for new selections does not affect historical Opportunities data; therefore, check its usage in records, reports, and automation before deleting it. Exercise particular caution when modifying the final Approved and Rejected stages, as they are used in reports and automation workflows.

Conditions

The Conditions section is used to manage selectable text options that are marked on the form. For each value, you can define a name, color, default status, active state, and display order.

Stage Duration Automation

Once the set duration expires, the system can flag the Kanban card or create an item based on a selected template. In specific implementations, items may also be automatically rejected or otherwise concluded. Before enabling automation, test it with a single sample item, as the change may trigger the creation of records and notifications for the responsible parties. Separately verify re-entry into the same stage and the completion process to avoid infinite loops or duplicate records.
