Role permissions control who can create, view, edit, and delete Items. Cost prices have a separate viewing permission. Organization restrictions determine which records a team member can see.
The administrator accesses the classifier as follows:
- System Settings → Inventory Settings – warehouses, Orders statuses, and related integrations;
- System Settings → Module Options – manufacturers, price level groups, Items sets, and units of measurement;
- System Settings → Finance – VAT rates;
- System Settings → Additional Fields – Items fields required by the organization.
The Settings → Inventory section manages warehouse balance control in sales documents, the default Items or Service type, reservation calculations, and inventory document numbering. The Goods Receipt setting can automatically create new Items entries; therefore, enable it only if you have a clear rule for codes and categories. The card is visible in the customer zone only when the portal and this feature are enabled. Before showing Item to the customer, verify the name, description, price, image, and files.
What to check after changing settings
After changing the default type, open a new blank card and verify the selected Items or Service value. After changing balance control settings, check the quantity against the specific warehouse balance in a test sales document. After changing reservation calculation settings, compare the physical quantity with the available quantity.
Change numbering series before creating new inventory documents and coordinate with the accounting department. Verify changes to permissions by logging in with the corresponding team member role: check if only permitted organizations are visible, if the cost price is hidden, and if the create, edit, and delete buttons correspond to the assigned permissions.
