Files, photos, and sales documents

Main image, technical files, attachment sending, and document fields.

You can store images, technical specifications, certificates, and other documents in the Files tab of the Items card. When uploading a file, provide a clear name and description.

Designate one image as the main photo. It may be displayed in the Items list and on sales documents, provided the document settings allow for photos. If you change the main photo, the previous image remains in the files but loses the "main" designation.

The Send with sales documents attribute allows the file to be attached to a document sent to the customer. Before enabling this, verify that the file is relevant, in the correct language, non-confidential, and not excessively large.

A sales document line item can utilize the Items name, description, code, price, VAT, unit, photo, and delivery lead time. The specific image displayed depends on the document language and PDF settings.

Use recognizable naming conventions—such as product code, document type, language, and date. For the main photo, select a clear image of the product that does not feature outdated pricing or promotional text. Mark a technical PDF for inclusion with documents only if it is suitable for all recipients of that Items. If the sales PDF does not display the image, check three things: whether a main image is selected on the card, whether the file is still accessible, and whether image display is enabled in the PDF settings for that specific document. If the email is missing an attachment, also check the setting for sending attachments.
