What you’ll do

Learn how to open the Tasks module, create a Task, understand key fields, and safely modify a saved record.

Before you begin

Access to the Tasks module is required. Creation, editing, viewing, and completion of Staff Tasks are controlled by specific permissions and assignments.

Opening the Tasks module

Select Tasks from the main menu. The window that opens displays the Tasks permitted by your user permissions, assignments, and selected filters.

If you do not see the module or a specific button, contact the administrator. Permissions for viewing, creating, editing, deleting, exporting, and administering Tasks are managed separately.

Creating a new Task

  1. Open Tasks.
  2. Click New record.
  3. Enter the Task name.
  4. Specify the start date. The name and start date are mandatory. 5. If necessary, enter a description and fill in the other displayed fields.
  5. Select the assignees and followers.
  6. Determine whether the item will be private or public.
  7. Click Save.

After saving, the item card opens. The initial status of the new item is determined by the system configuration.

Key fields

The form may include the following fields:

  • Title – a short and clear title for the task.
  • Description – more detailed information, requirements, or agreements.
  • Type – a type created by the administrator, for example, a call.
  • Goal – grouping based on an organizational objective.
  • Start and End – the scheduled execution time.
  • All day – used when specific start and end times are not required.
  • Critical date – an important deadline.
  • Priority – helps distinguish more important items.
  • Related record – the link to a client, contact, project, or other system object. - Responsible persons – team members assigned to carry out the Task.
  • Followers – Staff, who are to follow the progress of Task.
  • Public – allows Task to be seen by all Staff who have access to the module.

Additional fields appear when enabling recurrence, approval, billing, or other optional functions.

Tags

Tags help group and subsequently locate similar Tasks. In the Task form, select an existing tag or, if you have the necessary permissions, create a new one. When searching the list, enter the tag text without the # symbol, unless a specific search field indicates a different syntax.

Editing Task

  1. Open the Task card.
  2. Select the edit action.
  3. Modify the required fields.
  4. Save the changes.

The saved values should remain after refreshing the page. If you can view Task but cannot edit it, your account likely lacks editing permissions.
