How to find tasks, select the appropriate view, apply filters, and Save a frequently used list view.
List and views
Tasks can be displayed in different views. The available options depend on the system configuration.
List view
In the list, Tasks are presented in rows. You can open a Task, view its key data, sort the table, and apply filters. Table columns may vary based on user permissions and organizational settings.
Tabs for Tasks types—such as Call, Reminder, and Meeting—may appear above the list. Selecting a type filters the list to show only Tasks of that type. You can return to the full list by selecting All Tasks.
Kanban view
In the Kanban view, Tasks are grouped by status. Each card displays key information about the Task. If system permissions and the selected status allow, the card can be moved to a different status column.
Calendar view
Items are displayed in the calendar based on their dates. This view is convenient for planning tasks for the day, week, or a longer period. An item's display in the calendar is determined by its start and end dates and active filters.
Search and filters
Filters help narrow down the list of items. Available filters depend on the view, the item type, and enabled features. Common filtering options include:
- status;
- type;
- objective;
- priority;
- assignee;
- follower;
- start, end, or critical date;
- linked record;
- overdue items;
- one's own items;
- visibility and other attributes enabled in the organization.
Apply the filter after selecting the filter values. If the item you are looking for has disappeared, first clear active filters and check the time period.
In global search, an item can be found by name if the user has permission to view it. Search results and the "my items" list may differ, as the list also takes into account assignments and active filters.
Save views ("templates")
template saves selected filters, table columns, and other view settings. It is convenient when you regularly use the same Tasks selection.
- Select the required filters from the list.
- Enable or hide the desired table columns.
- Open the templates management options and select the option to save a new template.
- Enter a clear name for the template.
- Specify whether this will be a personal view. Options for sharing and mandatory views appear only if you have the appropriate permissions.
- Save and refresh the page to verify that the filters and columns have been retained.
template saves selected filters and table column visibility. If it no longer displays the expected Tasks, check the saved filters and the date range.
