Sending Invoices, PDFs, and reminders

Recipients, languages, attachments, PDF verification, and overdue payment reminders.

Last updated 20 days ago

Open Invoice and click email. In the sending window, check the recipients, the language of the email and document, the template, CC/BCC fields, and attachments. You can attach the Invoices PDF, files uploaded to Invoices, and other documents permitted by the system.

Before sending:

  1. open the PDF and verify the number, date, due date, currency, amounts, and details;
  2. check the recipient addresses and the selected language;
  3. review the list of attachments;
  4. ensure you are sending the final version, not a draft (template).

Successful sending marks Invoice as sent and records the event in the history. If you delivered the document via another method, select Actions → Mark as sent. This action does not send an email.

For overdue Invoice items, the menu may display Send notification regarding Payment overdue status. Check the recipient and template; reminders for multiple Invoices items can be grouped into a single email. Automatic reminders may be disabled for certain Invoices items. The PDF layout is controlled by the administrator: Items codes, descriptions, photos, discount, status, QR code, vendor, project, site, payments, signature area, and images. If the HTML card looks correct but a column is missing from the PDF, check the Invoices settings.
