Creating and managing Leads

Creation, field values, and day-to-day management of Lead.

Last updated 13 days ago

What you’ll do

Lead represents an unconverted individual or company involved in a sales process. Initial information, contact history, and the assignees are recorded here. Once a Lead becomes a customer, it can be converted into the Contacts module.

Before you begin

Access to the Leads module is required. Creation, editing, and conversion are controlled by specific permissions, while visible records may be restricted based on the responsible team member or team.

How to open the module

Select Leads from the left-hand menu. At the top, you can switch between List, Kanban, and Map views. Visible records depend on your permissions and assignments: if you are permitted to view only your own records, the Lead must be assigned to you as the responsible team member.

Key list widgets

  • New record opens the Lead form.
  • Search allows you to search based on list data, such as company, name, email, or phone number. - Filters select records based on stage, source, person in charge, location, Tasks, and other attributes.
  • Summary displays numerical cards, such as the count of Leads for the current month or new records for the year.
  • templates saves a frequently used filter and column view.
  • File upload icon initiates an import, provided the user has the necessary permission.
  • Checkbox at the beginning of a row selects the record for a bulk action.
  • Task icon initiates the creation of a Task linked to the potential client.
  • Notes icon opens the quick internal note creation feature.
  • Pencil opens the editing form.
  • Trash icon initiates deletion and appears only if the user has the appropriate permission.

Clicking the ID, company, or name opens the Lead card. Email and phone values can function as direct contact links.

How to create a Lead

  1. Select Leads → New record.
  2. Specify the Stage. This indicates the sales stage the record is currently in. 3. Enter the Name and, if applicable, the Company and Company Code.
  3. Enter the email, phone number, job title, website, and address.
  4. Select the Source so you can later evaluate where the leads come from.
  5. Assign a Responsible Person. This is important for task distribution and record visibility for users with restricted access.
  6. If applicable, specify the type, category, field of activity, number of employees, annual turnover, average salary, and "Sodra" debt.
  7. Check Contacted today if you have already communicated with the potential client on that day.
  8. Enter a description and tags, then click Save.

After saving, open the record card and check the assignee, stage, source, and related records. If the administrator has enabled automatic assignment, a template, or automatic record creation, the system may perform additional actions. A value selected in the form does not always represent the final outcome of the automation.

In the standard form, the mandatory fields are Stage, Name, and Source. Your organization may have additional mandatory fields. If a mandatory field is left blank, the message "This field is required" appears next to it.

Common fields explained

  • Stage – the current phase of the sales process.
  • Source – the channel through which the lead originated.
  • Responsible persons – the individuals managing the relationship and receiving related notifications.
  • Type and Category – classifications used by your company.
  • Business area – the client's or prospect's line of business.
  • Contacted today – a quick tag to help distinguish records that have already been discussed.
  • Description – free-text field for context, needs, and other sales-related information.
  • Tags – additional grouping for search and daily workflow purposes.

Editing and closing the record

Select Edit from the card's action menu, update the information, and save. If the sale was unsuccessful, use Mark as lost or Mark as worthless and enter the appropriate reason and a comment. If the prospect has become a client, proceed with the conversion process described in a separate article. Only use Delete Lead for an erroneous record. Typically, it is better to preserve the sales history by changing the stage or marking the outcome.
