Leads stages, sources, and settings
Administration of stages, sources, Kanban, and general module rules.
Last updated 13 days ago
The administrator can align the module with the company's sales process: create stages and sources, configure the Kanban layout, and select automation rules.
Where to find settings
Open Leads in the administration menu. It contains separate sections for Sources, Stages, and Email integration. General module toggles are located under Settings → Leads.
These menu items are visible only to users with administrative rights.
Sources
A source indicates where the Lead originated: a website, a referral, a trade show, an advertising channel, or another location.
To create a source:
- Open Leads → Sources.
- Click New record.
- Enter the name in Lithuanian and, if applicable, in English.
- Save.
You can select a default value in the list of sources. Before deleting a source, check whether it is being used in existing records or email integrations.
Stages
Stages form the Kanban columns and describe the flow of the sales process. For example, you can use stages such as "New," "Contacted," "Proposal Submitted," "Negotiations," "Client," "Not Worthwhile," and "Lost." The specific list is defined by the administrator.
When creating or editing a stage, you can specify:
- the name in Lithuanian and English;
- the color and sequence number;
- whether to display the stage in Kanban view;
- whether it is the default and active stage;
- the template applied upon entering the stage;
- the stage to transition to after completing the generated task;
- the allowed duration of the stage in hours or days;
- the template for the task created if the duration is exceeded;
- the use of a delay reason.
The order of the stages determines the order of the Kanban columns. Changes to automation rules can affect new transitions, so test the change with a single control record. Also, check re-entry into the same stage to ensure duplicate tasks are not created unintentionally.
General module settings
General settings allow you to manage:
- the reassignment of assignees during conversion;
- permission to convert the lead;
- the use of objects linked to the potential client; - the designated Kanban sorting field and direction;
- editing after conversion;
- automatic stage changes;
- automatic creation of Opportunities upon the creation of Lead;
- reassignment of Opportunities and Tasks when the responsible team member changes.
The switch name defines the general rule, but the final result is also determined by the user (permissions), settings in related modules, and specific stage automation.
Recommendations for the administrator
- Use a short, easily understandable sequence of stages.
- Assign one clear meaning to each source; avoid nearly identical names.
- Do not change the meaning of values that have already been used in the history. If the process changes, it is often safer to create a new stage.
- Before deleting, check the usage count and the default value selected in integrations.
- Test automatic Tasks actions with a test record first.
