What you’ll do
You will allocate a received payment (Invoice or Proforma Invoice) and verify the changes to the document balance and status.
Before you begin
Access to the financial document and Payments posting rights are required. Before allocating, verify the received amount, currency, payer, and document balance.
Steps
- Open Invoice or Proforma Invoice and select Payments → Allocate Payment.
- Check the document, outstanding balance, payer, and currency.
- Specify the allocation amount, date, Payment method, transaction ID or reference, and a note.
- If the received amount is larger, do not allocate the entire sum to a single document without checking for other outstanding debts; handle the remainder as an overpayment according to your organization's process.
- Click Save and verify the document balance and status again.
What happens after saving
Upon saving, the document balance and Payment status are recalculated. A partial payment leaves an outstanding balance, whereas the full applied amount can mark the document as paid.
Troubleshooting
If the action is not displayed or the record cannot be modified, check the financial document's status, the locked date, the integration source, and your permissions. Deleting the payment restores the document's outstanding debt.
