Payments
Record and import Payments, manage statuses and overpayments, and issue receipts.
- Payment methods, settings, and permissionsAdministrators manage these methods via **System Settings → Finance → Payment methods**. Here, you can add a name, bank Invoice, or description, and toggle the method's active status. It is best not to delete a method that has already been used in historical records without considering the consequences; often, simply deactivating it for new entries suffices.
- Payment Allocation and EditingOpen Invoice or Proforma Invoice, select **Payments**, and click **Apply Payment**. Check the document and the outstanding balance, then specify the amount, date, Payment method, transaction ID or reference, and a note.
- Payment Receipt, PDF, and Cash Receipt VoucherOpen the payment record in the general register or within the **Payments** document section. On the page, you will see the linked document, amount, date, method, basis, and notes, as well as a preview of the **Payment** receipt.
- Payments register search, filters, and templatesHow to select payments by document, customer, date, or status, and Save a frequently used view.
- Partial and full payments and document statusA partial payment reduces the document balance and typically changes the status to Partially Paid. When the sum of payments and applied credits covers the entire document, the status becomes Paid.
- Imported payments and their recognitionWhen bank or accounting imports are enabled, incoming transactions first appear in the imported payments review section. The system may suggest a customer and an unpaid document based on the payment details, but you should verify everything yourself before confirming.
- Overpayments and their applicationAn overpayment occurs when a customer pays more than the amount currently allocated to a specific document, or when a transfer is temporarily held as customer credit. It has its own balance and can be used for subsequent Invoices items.
