Password, 2FA, and recent devices
Open the Security menu. Here you will find sections for the password, two-factor authentication (2FA), and recent devices.
Change the password by entering the current and new passwords. If a user cannot log in, an administrator can send a password reset link.
2FA registration is managed by the user themselves. If 2FA is mandatory for the account, ensure the team has clear instructions for registration and recovery before enabling it.
Check the list of recent devices to see where the account has been used. If you notice an unrecognized device, change the password and check active sessions.
Deactivating and removing a user
When a user leaves, first change their status to inactive. This stops access and disconnects external interfaces, but the user's historical profile remains in the system. Before permanently removing team member:
- reassign active Tasks, Projects, Opportunities, Tickets, and other records for which the user is responsible;
- review automated rules, notification recipients, and integrations;
- select the team member to which historical data will be transferred;
- ensure that the selected recipient has the appropriate permissions and organizational access.
Removal affects many related records, and some personal messages, reminders, and settings may be deleted. If there is no clear reason for removal, leave team member inactive.
