Roles, their assignment, and the permissions matrix

A role groups permissions into modules and actions, while the permissions matrix allows for the precise definition of access levels.

Role creation and assignment

Select System Settings → Roles → New record. Enter a clear name for the job function, select the organizations, and mark the required permissions.

It is convenient to copy a role when a new Staff group requires similar permissions. After copying, change the name and re-check the settings for deletion, export, pricing, Staff, and configuration permissions.

The team member role is assigned in the permissions tab of the user's card. If, when updating the role, you choose to apply its permissions Staff, individual Staff exceptions may be overwritten. Before making such a change, review who the role is assigned to.

permissions matrix columns

Each row in the matrix corresponds to a module or a specific function. Available actions:

  • View all – view all permitted records in the module.
  • View own – view records belonging to or assigned to the team member. - View by role – view records permitted for the role (Staff) when hierarchical roles are used.
  • View all related records – view records via a related object accessible through team member.
  • Export – export visible data.
  • Create, Edit, and Delete – distinct data modification actions.

Not every module includes all columns. Grant export and delete permissions (permissions) only when necessary.
