Addresses, relationships, and departments

How to manage additional addresses, link Contacts, and create organization branches.

Last updated 13 days ago

These functions help describe where the entity operates, the structure of its organization, and its relationship with other entities.

Primary and additional addresses

The primary address is entered in the entity's profile and, once saved, appears in the Addresses section of the record as the registered address. When adding an additional address, you can select the type: Registered, Delivery, or Loading.

You can find this section in the entity record by selecting Profile → Addresses. The list displays the ID, name, type, registered address details, mobile and other phone numbers, email, default address indicator, notes, and available actions.

These data paths are separate. Changing the primary profile address does not necessarily automatically update the delivery or other specific addresses.

The system can copy the address to a document at the time of its creation. If the entity's details are subsequently updated, existing documents are generally not overwritten. If you are correcting an incorrect address, be sure to check any documents that have not yet been sent.

Creating a new additional address

  1. Open the entity record.
  2. Select Addresses within the record. 3. Click New record or the plus button.
  3. Select the Address type. The type defines the purpose of the address.
  4. Enter the street, city, region or county, postal code, and country.
  5. In the Note field, enter additional information, such as details regarding the entrance or business hours.
  6. If this address should be suggested first, mark it as the default.
  7. Click Save.

Address buttons

  • Edit modifies the details of the selected address.
  • Set as default specifies which of multiple addresses the system should suggest first.
  • Delete removes the address from the list of options. Before deleting, ensure it is not being used in active documents or delivery processes.
  • The map or location action, if displayed, opens the address on a map.

The related Contacts function displays a business or personal connection between two Contacts entities—for example, a headquarters and a branch, a parent company and a subsidiary, or two family members.

Open this section via Profile → Related Contacts. The table displays the Contact, relationship type, the user who created the relationship, a note, the date, and actions.

How to create a relationship

  1. Open the card for one of the Contacts entities.
  2. Select Related Contacts.
  3. Click Link, New record, or the plus button.
  4. Search for and select the other Contact.
  5. Select the relationship type for the open Contact.
  6. Select the relationship type for the Contact being linked. When linking a legal entity (Contact) with an individual, the first field displays relationship types for companies, while the second displays types for individuals.
  7. Save.

Relationship types are directional. For example, one side might be "Parent Company" and the other "Branch." If the required type is not in the list, an administrator must first create it in the Contacts settings.

Modifying and removing a relationship

Select Edit in the relationship row if you wish to change the type. Remove relationship deletes only the link between the Contacts entities; the Contacts cards themselves remain in the system.

Branches

A branch is used when a single organization has multiple offices, stores, warehouses, or other separately managed units. The branch record can store the name, address, city, country, phone number, and email address.

Open this section via Profile → Branches. The list displays the ID, name, address, phone number, email, notes, and actions.

Map

Select Map above the list. A single marker indicates one branch, while a blue marker with a number indicates multiple branches located close together. Clicking a single marker displays the company name and an email link.

The filter button allows you to filter by type, category, level, field of activity, country, city, address type, status of related documents, assignee, legal or natural person, source, and creation date. A branch appears on the map only when the system has its correct coordinates. The text-based address and map coordinates are related but separate pieces of data. Correcting the address may require resetting the coordinates or updating the map.

How to create a branch

  1. Open the organization Contact.
  2. Select Branches.
  3. Click New record.
  4. Enter a clear name, for example, "Vilnius Warehouse".
  5. Fill in the branch's address and contact details.
  6. If an integration code is displayed, fill it in only according to your organization's integration rules.
  7. Save.

The created branch can be selected in the Contact person form or in a related sales document. If a document is being sent to the branch, check its email address before sending.

Editing and deactivating

Select Edit in the branch row, modify the information, and save. If the branch is closing, first check the Contact people and documents assigned to it. Whenever the system allows, it is safer to deactivate the branch rather than delete its history.
