Contact settings
Settings for a specific Contact and administrator-managed selection lists for the Contacts module.
Last updated 13 days ago
The Contacts module features two levels of settings: settings for an individual Contact and system-wide lists of Contacts options.
How to open settings for a specific Contact
- Open Contacts in the left-hand menu.
- Click on the Contact name.
- Open the Profile → Settings tab if you only wish to view the values.
- To modify them, open the action menu at the top and select Edit.
- Select the Settings tab in the editing form.
- Click Save after making changes.
What the settings mean
- Active indicates whether the Contact is used in the standard workflow. If disabled, the record history remains in the system.
- Show main Contact person data allows its data to be displayed in Invoices, as well as in Invoices and Payments previews.
- Debtor marks the Contact as a debtor. - Consolidate PDF lines combines identical or groupable lines in the PDF document according to the system's financial logic.
- Payment term is the default term in days for new invoices.
- Due date term is the default due date term.
- Credit limit sets the credit limit applicable to the customer.
- Email scanning domain and Additional email scanning domains help assign scanned emails to this customer.
- System language selects the language used for the customer when the associated process does not use a different language.
- Default currency is suggested for new financial documents.
- Response time is set separately for low, normal, and high priority.
- Price level groups select the pricing applicable to the customer.
- Discount (%) specifies the default discount for the customer.
- Payment reminders manage reminders regarding the upcoming payment deadline. - Latitude and Longitude are used to display Contact on the map. Coordinates can be loaded from Google Maps or PositionStack based on the address provided in the form.
Changed default terms—such as VAT or discounts—usually apply only to new documents. Values in already saved documents are not automatically overwritten.
After saving, you can reopen Edit → Settings to verify that the Invoices and Proforma Invoices terms, credit limit, language, and default VAT have been retained.
How to change the responsible team member
- Select Edit from the action menu on the Contact card.
- Locate Responsible persons under the Contact information tab.
- Add or remove the team member.
- Click Save.
Changing the assignee may alter which Contacts are visible to specific Staff (subject to permissions restrictions).
Changing the responsible team member does not automatically update the assigned personnel for all Tasks, projects, or other records linked to the Contact. After making the change, check the assignees for active tasks in the relevant modules.
How to access module option settings
- Open System Settings.
- Expand Contacts in the left-hand menu.
- Select one of the sections:
- Types;
- Categories;
- Levels;
- Company Interfaces;
- Individual Interfaces.
If you do not see the Contacts section, your account lacks the permissions administration permission.
Creating a new value
- Open the required list.
- Click New record.
- Specify an ID if necessary; do not change it arbitrarily if the ID is used by integrations.
- Enter the name in Lithuanian and English.
- Select a color.
- Specify the position in the list in the Sequence field: a lower number appears higher up.
- Click Save. Close closes the form without saving.
The forms for creating types and categories do not include fields for activity status or default values. These statuses are displayed in the tables for levels and interfaces, but modifying them depends on the specific editing form.
Changing or deleting the current value
The pencil icon opens the edit mode, while the trash can icon initiates deletion. Once renamed, the value may appear under its new name alongside previously created Contacts entries. Before deleting, verify that the value is not being used in Contacts, filters, templates, or integrations.
