Creating Goods Receipt manually or from Order

What you’ll do

You will manually register the receipt of Items or transfer data from supplier Order to Goods Receipt, including partial receipts.

Before you begin

You need permission to create Goods Receipts and access to the warehouse. Select the final status only after verifying the actually received Items, quantities, prices, and serial numbers.

Manually creating Goods Receipt

In the Goods Receipts list, select New record when Items are received without a Hanna Order. Select the supplier, warehouse, receipt date, status, and assignees. If necessary, link an Order or contract, enter the VAT invoice number and date, add a comment, and attach a file.

Add the received Items. For each item, specify the received quantity and check the code, purchase price, VAT, and comment. If serial numbers are used, enter them according to the units actually received.

Double-check the warehouse, quantities, and prices before confirming. The final status alters actual stock levels; therefore, the safest way to correct an error is to cancel the document and confirm a corrected version.

Creating Goods Receipt from Order

Select the Goods Receipt action on the Order supplier card. Hanna transfers the Order supplier, warehouse, and Items lines. For each line, compare the ordered quantity with the quantity actually received and adjust the received quantity. This allows you to receive the same Order in partial shipments.

Specify the receipt date, the assignees, the status, and—if necessary—the supplier's invoice number and date, contract, comment, and original file. Check the warehouse before saving.

Once the receipt is confirmed, warehouse stock levels are updated, and the related Order can be marked as partially or fully received. If you do not see the Goods Receipt action Order, check the Order status and contact the administrator.
