Open Invoice and select Payments or the menu option Actions → Apply Payment. Enter the received amount, date, Payment method, transaction number, and a note, if these fields are displayed. Upon saving, the system recalculates the Invoices balance and status.

If the entire remaining amount is applied, the status becomes Paid. If only a portion is covered, it becomes Partially paid. When the due date has passed and a balance remains, Invoice is displayed as Overdue. Select the payment method based on the actual transaction; the permitted methods marked in the Invoices form do not constitute a payment record.

A customer overpayment can be applied as a credit. The credit amount cannot exceed either the available customer credit or the Invoices balance. After applying the credit, check both the Invoices balance and the amount of the customer's unused credit.

Generate Credit Note creates a new financial document linked to the original Invoice. This action differs from cancellation and payment refund. Select it only in accordance with your accounting process. The Customer Debt list summary and the Unpaid Amount column help track balances. The figures displayed depend on the filters, the organization, and your permissions. If the total amount does not match expectations, clear the filters, check the currency, and open the specific Invoices Payments and credits.
