Opportunity settings and administration

Where to find and how to safely modify Opportunities module settings.

Last updated 20 days ago

Open System Settings → Opportunities. This group consists of five main sections: Processes, Stages, Conditions, Text Templates, and Document Templates.

What Each Section Manages

  • Processes – distinct sales workflows, color, default value, activity status, and sequence.
  • Stages – process steps, probability, duration, Kanban visibility, and automation.
  • Conditions – commercial terms text selected in the Opportunities form.
  • Text Templates – header or footer text for the proposal.
  • Document Templates – PDF/DOCX document structure, language, organization, and master template.

Additional general settings may include number prefixes, default currency, PDF line item display, expiration reminders, automatic rejection, automatic Opportunities creation, stage locking, delivery details, and notification rules. The specific set of fields depends on the plan and enabled features.

Safe Modification Method

  1. Note the current value and the records using it.
  2. Change a single setting. 3. Create or open a test Opportunity.
  3. Check the form, list, Kanban view, document, and—if applicable—the notification. For a stage, also check the transition recurrence, the Task template, and the email recipients.
  4. Only then apply the change to the entire team.

Do not delete a process, stage, or template simply because it is no longer used for new records. Renaming or changing a probability value can alter the interpretation of historical reports; therefore, record the previous value before making the change. First, disable it and verify the behavior of historical records and reports.
