Modify document settings only if you have administrator rights. Open the Documents section within the system settings. Under Document Types, you can define the purpose and set a default title, category, text template, and sequential approval option. This ensures greater consistency when filling out new documents.
Manage the tree structure displayed on the left side of the list under Document Categories. Create clear, non-overlapping names, set the display order, and assign a parent category if necessary. Categories facilitate navigation, while types control form automation.
Under Document Statuses, create your organization's workflow stages and select colors, display order, and the default status. If a status is no longer in use, disable it first; deleting the status entry could leave historical documents without a recognizable label.
Manage PDF and DOCX content under Document Text Templates. Adjust the visibility and order of standard fields in the module field settings, and create new organizational fields in the additional fields section.
Individually assign view, create, edit, and delete permissions for roles. Consider the scope regarding organizations and assignees. After changing the setting, test one new and one existing document using the standard team member account.
