Currency settings

You can find currencies by selecting System settings → Finance → Currencies. This is where the currency codes and symbols used in financial documents and reports are managed.

The list displays the currency code, symbol, and available actions. One currency is marked as the Base currency. It serves as the system's primary currency and as a fallback option when no other currency is specified for a document or record.

The currency code and symbol serve different functions. The code must be a valid ISO code, such as EUR or USD. The symbol is the value displayed in documents and lists, such as € or $.

Use the search bar above the list to find a currency. If you do not see options to create or edit, check your administrative permissions.

Creating, editing, and deleting currencies

Select Create in the currency list. In the Currency code field, enter a valid ISO code (e.g., GBP), and in the Symbol field, enter the sign displayed to users (e.g., £). If the Bank field appears on the form, select an exchange rate source or leave it as Not selected to use the default source.

To edit a currency, click the pencil icon or the currency code. If you change the code or symbol, the new value may also appear on previously created records. Before saving, ensure you are not changing the value of a currency currently in use to a different currency.

You cannot delete a currency if it is the base currency or is already used in key system records. If the system indicates that the currency is in use, do not delete it. First, identify the documents (Contacts) or integrations where it is selected.

It is safer to keep historical currencies in the list so that old documents and reports remain understandable.

Base currency and changing it

The base currency is used for key system amounts, conversions, and as the default selection. In the currency list, it is marked with the text Base currency.

You can click the star next to another currency and select Set as base currency. Hanna will not allow the base currency to be changed if the current base currency is already in use in financial or other key records.

Changing the base currency does not convert previously created documents. It updates the default setting for new records and calculations that rely on the base currency. Therefore, before making the change, coordinate the date with your accounting department and check the default currencies, reports, and integrations (Contacts).

If you need a different currency for only a single document, do not change the base currency; instead, select the required currency within the document itself.
