Record Deletion and Duplicate Control

Before changing deletion or duplicate detection rules, assess the impact on data recovery and daily operations.

Record Deletion and Duplicate Control

Permanently remove deleted records makes the deletion of records irreversible. Enable this setting only if you have a backup and a clear deletion procedure in place.

Identifying duplicate names helps spot potential duplicates. A matching name does not necessarily mean the records are identical, so compare the code, email, and phone number.

If you enable Disable duplicate checking, duplicate warnings may no longer appear. Consider both duplicate settings together.

Activity Logs and Calendar Reminders

These settings control the retention of old activity records and the display of previously shown reminders in the Calendar.

Activity Logs and Calendar Reminders

In the Delete system activity logs older than X months field, specify how long to retain activity history. A shorter period means fewer old records, but it reduces the timeframe available for analyzing Staff actions.

Consider your organization's audit and data retention policies before shortening the period.

If you enable Hide Calendar reminders that have already been notified, those reminders will no longer appear in the Calendar view after the notification. The associated record and its due date remain unchanged.
