Migration of existing files and safe integration deactivation

After connecting OneDrive or Google Drive, new files can be stored externally. A separate migration process is required to move files previously uploaded to Hanna.

Before migration, verify the organization's storage account, available space, and connectivity using a test file. Ensure a backup exists, schedule the migration time, and designate a process monitor.

Once migration starts, the system displays the number of files transferred, the total count, and the remaining number. If some files fail to transfer, check the connection, the specific integration instance, and storage quotas before retrying. Migration is complete when the remaining count is zero and selected files open successfully from Hanna.

Before disconnecting the storage, determine where the already transferred files will reside; disconnection does not automatically move them back. Ensure a backup and continued accessibility exist, halt new uploads, verify Hanna links, and only then disconnect the provider.

If the storage is managed by a specific user account, transfer ownership to an organization-managed account before altering that user's access.

If the migration does not complete or some files remain unmoved, send Hanna Customer Support the storage provider, migration start time and time zone, moved and remaining file counts, displayed error, and one anonymized example of a failed file. Do not send storage sign-in credentials.
