Customer Portal access and visible data

Grant Customer Portal access to a Contact person and troubleshoot record visibility securely.

Last updated 7 days ago

The Customer Portal is a self-service area where a customer can view Hanna records and files shared with them. Access is granted to a specific Contact person, so verify the email address and enable only the required areas before sending login details.

Granting access

Open Contacts → Contact people and create or edit a person. Enter a valid email address, enable sending login information, and select which record types the person may view. Hanna sends the login information after the changes are saved.

If the option is unavailable, the Customer Portal may not be enabled for your account or your permissions may be insufficient. Contact your administrator or Hanna Customer Support for account activation.

What the customer can see

Available areas depend on account configuration and the access granted to the Contact person. They may include Projects, Invoices, Proforma Invoices, Opportunities, contracts, Documents, Assets, Tickets, files, and Calendar information.

Enabling an area does not expose every organisation record. A record must be linked to the relevant Contact or Contact person, and its module settings must allow Customer Portal visibility.

Managing access securely

Verify the recipient and email address, and grant only the areas required. When the customer's employee changes role or leaves, update or disable the former Contact person's access.

If a record is missing, confirm that the customer uses the email stored in Hanna, that the correct area is enabled, that the record is linked to the right Contact, and that its status and module settings permit portal visibility. If all settings are correct, send the Contact person and record links to Hanna Customer Support. Do not send the password or login link.
