Data Export, Formats, and Preparation

When exporting, it is important to choose the appropriate format—PDF, CSV, or Excel—for the desired output. The content of the export is determined by the list filters, columns, and the selected action, so it is advisable to review your selection before generating the file.

What you’ll do

Prepare a precise export of a module list and select the appropriate format—PDF, CSV, or Excel—for the output.

Before You Begin

You need export permissions for the selected module. Only data visible to you is exported, so check your filters, search criteria, and selected columns before starting.

Steps

  1. Open the list for the module you wish to export.
  2. Apply filters and search criteria, then select the necessary columns. If you plan to use the same selection again, save it as a list view.
  3. Select the export option from the list toolbar.
  4. Choose a format: PDF for viewing or printing, CSV for data exchange, or Excel for analysis.
  5. Run the export and locate the resulting ZIP file in the export history. Large exports may be split into multiple files.

Difference Between List Export and Bulk PDF

A list PDF presents the data in a table format. The Other Functions → PDF Export feature is designed for generating PDF sets of individual business documents.

If the Result Is Incorrect

Return to the list and check active filters, search criteria, the selected view, and visible columns. The export does not include data that the user is not permitted to see based on their access permissions.
