Expense approval and assignees

Responsibilities, approval process, and editing limits.

Last updated 13 days ago

When creating an Expense, select the individuals responsible for managing it. An assignee can monitor the record and perform permitted actions. The approver plays a different role: they make a decision based on the rule established for the Expenses category.

If an Expense requires approval, fill in the details and submit it according to your organization's process. The Pending Approval status indicates that a decision is still pending. Upon approval, the status changes to Approved, while a negative decision is marked as Rejected. If multiple approvers are assigned, wait for all required decisions.

Before submitting, verify the category, supplier, date, amount, VAT, currency, linked project, and attached supporting file. This reduces the likelihood of the item being returned for corrections.

If you cannot modify a pending or approved Expenses, ask an administrator to check the rules regarding editing based on status. Simply having edit permissions for the permissions may not be sufficient if the organization protects approved records from subsequent changes.
