What you’ll do
You will create a contract and link it to a client, specifying terms, value, assignees, and the document template.
Before You Begin
You need "Create" or "Edit" permissions for the Contracts module and access to the linked client or entity. The contract type and numbering system must already be set up.
Steps
- In the contracts list, click New Contract. First, select the Contract Type and Status. The type may automatically suggest a title, number series, and document template.
- Enter a title and select what the contract relates to—a Client or a Potential Client. Once selected, you can specify the specific client. If necessary, add an object, project, and related entity. These links will help locate the contract from other Hanna modules and populate the document template.
- Specify the contract date and the validity start and end dates. If the contract is open-ended, leave the end date blank. In the Validity reminder (days before) field, enter how many days in advance you wish to receive a notification. 4. Select the assignees, and enter the contract value, VAT, and the advance payment. Verify the calculated amount against VAT. Enter important terms in the description field and attach the relevant document in the file field. If you wish to offer the contract as an attachment when sending sales documents, select the appropriate option.
- Select a text template if you intend to generate the document within the Hanna system, and click Save. When editing an existing contract, pay special attention to the number, Contact, dates, amounts, and related records.
What happens after saving
Saving creates a Contract card containing the selected client, terms, value, assignees, and related records.
Troubleshooting
If the number, template, or status is not selected, check the contract type settings, the numbering series, and your permissions. If you do not see a linked record, check its organization and visibility settings.
