How to select document details, information, images, and the filename.

Last updated 13 days ago

In the tab for each document type, you can select which information appears in the PDF: the seller and their details, signature area, discount, item description, code, EAN, image, QR code, total quantity, payments, and project or site.

You can configure the size and placement for images and additional visuals. The footer image can be set to appear only on the last page. Oversized images may alter the table layout, so always check multi-page documents.

Default comments and terms are automatically loaded into new documents, while the contact information format determines the layout of business details. Lithuanian and English PDF naming settings allow you to specify a clear filename for the download.

Include only information the recipient is permitted to see in the PDF sent to the client. Pay special attention to personal ID numbers, cost prices, margins, and internal project data.

If the PDF differs from settings or the outgoing email

  1. Note the exact document type, organization, selected language, and template. Invoice and proforma settings are not a single shared selection.
  2. Check the details and values saved on the document card. Changing defaults for new documents does not by itself confirm that an existing document has changed.
  3. If a custom template is used, check whether it supports the required field. A general setting and a custom template can produce different results; tell the administrator maintaining the template exactly which field is missing.
  4. Check discounts separately in item rows and in the document totals. Specify where you expect the discount and whether the amount or only its display differs. Likewise, distinguish incorrect company details from their layout.
  5. Generate the PDF again and compare the same document in the same language. Check all pages, especially long descriptions, images, and the final total.

Email attachments are checked separately from PDF content. If you are sending item or item-group files, check the attachments selected in the sending dialog. A file being present on an item card does not confirm that it is attached to a particular email. Compare the attachment list and avoid selecting the same file more than once.

If the discrepancy remains, send Hanna Customer Support the document link, language, template, expected field, and an anonymized PDF excerpt. Specify whether the problem occurs when downloading or only when emailing.
