What you’ll do
You will create or copy a service record and fill in the key catalog, pricing, and accounting fields.
Before you begin
You need create or edit permissions for the module. Before creating the record, decide whether you are registering a physical item or a service, and prepare the code, price, VAT rate, and unit of measure.
Steps
- Click New and select whether you are creating an Item or a Service. An item is intended for a unit tracked in inventory, while a service is for work or another entry without physical stock.
- Enter the name, code, base sales price, VAT rate, and unit of measure. If necessary, select the supplier, supplier code, category, manufacturer, cost price, minimum sales price, delivery time, and description.
- If using multilingual fields, fill in the values required for documents. For a physical item, specify warehouse balances and critical stock levels only if you have a supporting initial stock balance. 4. Use the Always add to new sales document attribute only for mandatory items. Select Exclude from percentage calculation when percentage-based lines are used in the document and this item should not be included in their calculation base.
- Check the type, code, name, price, unit, and category, then click Copy. When copying, update the unique data and review the Files and Pricing tabs.
What happens after saving
Once saved, the item or service becomes available for selection in new documents based on the settings for status, organization, and item group. Changes apply to the catalog and future actions; lines already saved in historical documents generally remain unchanged.
Troubleshooting
If the item does not appear as an option in the document, check its status, type, organization, and item group. In a copy, double-check the code, name, and other unique fields.
Key attributes explained
- Active – the item appears in standard selection lists; it is usually better to deactivate an old record than to delete it.
- Manufactured – the item can be part of the production process. - Delivery time – text that can be used in a proposal or other sales document.
- Text – text prepared for use in the module.
- Critical balance – the threshold at which it is advisable to replenish stock.
Before saving, check the name in both required languages, the code, type, price, unit, and category. If creating a new item by copying an existing one, also review the Files and Pricing tabs: the copied data may be suitable for the source item but not for the new variant.
